Personal Assistant – Miami, Florida

Silver Swan is actively seeking a dedicated Personal Assistant to provide unparalleled support to an esteemed high-profile client located in Miami, Florida. This dynamic live-out position offers the opportunity to assume a varied role in a fully-staffed home, with a diverse array of responsibilities. The successful Personal Assistant will collaborate closely with the Principal, ensuring flawless support across various domains such as coordinating travel arrangements, calendar management, events planning, overseeing finances, and efficiently managing personal errands. This successful candidate will also be actively involved in the Principal’s business ventures, providing executive level support where required. The successful Personal Assistant will embody a robust and professional work ethic, a kind-natured demeanor, coupled with a switched-on and ambitious attitude.

Responsibilities:
 

  • Support the Principal and family comprehensively in daily life, overseeing complex schedules.
  • Provide seamless administrative support, including scheduling appointments, overseeing budgets and finances, coordinating meetings, events, and gatherings.
  • Assisting with travel as needed, including coordinating travel arrangements, and packing/unpacking.
  • Overseeing household management, including household staff, maintenance, and vendors
  • Deliver exceptional services during meetings and events.
  • Assist with personal errands, ranging from restaurant reservations, to driving and picking up family members.
  • Undertake a diverse range of tasks, duties, and assignments directed by the Principal.

Ideal Candidate:
 

  • Possesses a strong command of the English language, demonstrating excellent communication skills both written and verbal.
  • Has previous experience working in a similar role for high-profile clients, with proven longevity.
  • Is comfortable around pets and chidren.
  • Exhibits the ability to work independently and collaboratively with the Principal and other staff.
  • Quick learner with exceptional organizational and multitasking skills.
  • Demonstrates exceptional administrative skills with a keen aptitude for technology.
  • Financially literate, with experience overseeing finances and budgeting.
  • Exudes enthusiasm, dedication to responsibilities, and a positive “can-do” attitude.
  • High level of proficiency in Microsoft Suite, social media savvy.
  • Projects a professional, trustworthy, and well-presented demeanor.
  • Values discretion and confidentiality.
  • Minimum 4 year college degree, preferably major in Business, Economics, Finance or other.
  • Must be eligible to work in the US.
  • Excellent references required from previous employers.
