Note

We are looking for a logistics manager to take care of every aspect of the lives of guests and travelling crew. The logistics manager will provide organisational, administrative, and on-the-ground support for the duration of a tour/excursion or trip. You will be working extremely closely with a lifestyle team and it is the logistic managers responsibility to ensure everything is running efficiently. You should have a wealth of experience working with VIP clients and be able to demonstrate a fast paced, articulate eye for detail in every aspect of plans and engagements.

Responsibilities
  • Ensure all transportation and lodging arrangements are organised for crew and VVIP client
  • Communicate in advance with concierges and in location support as well as venue management
  • Coordinate load-in, daily activities , dinners and meals; conveying the group’s hospitality needs
  • Ensure guests and crew get to their next stop safely and on time, while having a sensational and smooth experience in each location
  • Create daily itineraries that detail each day's schedule and distribute them to the client and crew
  • If there are specific engagements planned—such as art tours, a restaurant visit, or a private screening —the logistics manager is responsible for making sure everyone is where they need to be.
  • Most importantly, manage the finances, keeping a close eye on the money that comes in and out to ensure everything stays within the project accountant budget.
  • Problem solving and troubleshooting, whether it's due to a dispute, a passport emergency, guest dinner reservation issues, or bad behaviour, the logistics manager will resolve the issue and restore peace
  • Working closely with the global teams and the client services manager to ensure a smooth tour is ongoing whilst travelling the world

Ideal Candidate
  • Previous experience in a similar role
  • EU passport holders
  • Fluent English and additional languages
  • experience and track record of organising travel, bookings, logistics and finances of an UHNW client
  • Experience working with VVIP clients is necessary to understand their wants, needs and requirements
  • Effective communication
  • Capable of organising travel and staff arrangements of up to 40 people at one time
  • Must have financial knowledge or budgets and expenses
  • Must be able to organise within a fast paced environment
  • Must be able to calmly and effectively deal with major or minor issues
